SUMMARY: This position provides assistance to the Chief Engagement & Partnership Officer and the Chief Policy/Strategy Officer. Responsibilities include providing assistance to Student Support & Family Engagement and Policy Development departments in addition to providing administrative assistance to Chief Engagement & Partnership Officer and the Chief Policy/Strategy Officer.
CONTEXT AND MISSION: Highline Public Schools serves approximately 19,000 students in the communities of Burien, Des Moines, Normandy Park, SeaTac, and White Center in Washington State. In 2013, parents, students, community members, and staff at all levels of the district came together to develop a strategic plan that reflects our goals and dreams for our students. The plan was updated in 2018 to guide our work through 2023. The plan’s promise is that every student in Highline Public Schools is known by name, strength, and need, and graduates prepared for the future they choose. The strategic plan is centered on Our Promise. It includes five big goals for Highline students, supported by Our Foundation. * Equity. We will disrupt institutional biases and end inequitable practices so all students have an equal chance at success. * Instruction. We will reduce achievement and opportunity gaps by using culturally responsive, inclusive, standards-based instruction. * Relationships. We will know our students by name, strength and need and have open, two-way communication with students, families and community partners. * Support. We will increase student success by supporting their social-emotional and academic needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. This list is meant to be representative, not exhaustive. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Assists the staff reporting to the Chief Engagement and Partnership Officer as needed. * Point of contact for schools and community for student supports needs. * Tracks Washington State School Directors’ Association (WSSDA) policy updates and develops timelines for Board approval. * Performs general secretarial duties. * Answers phones, screens calls and directs call to appropriate staff, provides back-up telephone coverage for other departments. * Maintains supervisor’s appointment calendar, scheduling appointments between supervisor and other staff members or outside community members, attorneys, insurance representatives, city officials, etc. * Maintains office files, updating and purging files as necessary. * Maintains timesheets and reports payroll for supervisor’s administrative staff and administration area. * Compiles information for board agenda meetings from departmental staff.

EDUCATION AND EXPERIENCE: High school graduation or equivalent Five years of increasingly responsible secretarial experience including dealing with public
PREFERRED QUALIFICATIONS:: Post high school training and additional experience working in public education and/or community relations Bilingual/Biliterate
CONDITION OF EMPLOYMENT: Criminal background clearance Valid WA State driver’s license and proof of insurance
KNOWLEDGE OF: Secretarial practices and procedures Use of correct grammar, spelling, and English usage Bookkeeping and accounting procedures General office equipment School board policies and procedures
ABILITY TO: Communicate effectively verbally and in writing Maintain effective working relationships with individuals and groups in a multicultural and diverse community Operate a variety of modern office equipment including microcomputers and related software Demonstrate competency in Microsoft Office Software Keyboarding skills at a minimum of 60 words per minute with accuracy Accurately transcribe written or audio dictation Set up and maintain budgets, spreadsheets, legal records, an accurate filing system and numerous calendars Attend to detail and follow tasks through to completion Maintain excellent attendance record Organize and set priorities Work effectively under pressure and meet tight deadlines Work independently with minimal supervision Exercise good judgment and maintain confidentiality Serve as a liaison for all division functions and departments Represent the Assistant Superintendent, Executive Director of Finance and Business Services, and the district with the staff and public communities in a positive manner React in an emergency situation, maintain calm, and assist in the crisis management Comply with school board policies and follow administrative procedures
