SUMMARY: The elementary school office assistant provides general clerical and secretarial support to the school site, communicating information to staff and to the public, providing complete and accurate records and providing information and/or direction as may be requested.
CONTEXT AND MISSION: Highline Public Schools serves approximately 19,000 students in the communities of Burien, Des Moines, Normandy Park, SeaTac, Boulevard Park and White Center Heights in Washington State. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. This list is meant to be representative, not exhaustive. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Administers first aid and prescription medications to students under the direction of a health care professional to meet the immediate health care needs of the student within established guidelines. * Assists with processing of documents, forms, mailings and materials (e.g. attendance, enrollments, etc.). * Attends department and/or in-service meetings to gather information required to perform functions * Collaborates with Office Manager who reviews, coordinates and monitors the office staff for ensuring the effective and efficient operation of the front office. * Distributes materials (e.g. mail, checks, supplies, messages, etc.) ensuring prompt delivery to addressee. * Maintains manual and electronic documents files and records (e.g. letters, forms, reports, student attendance, etc.) to provide up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements. * Maintains inventory of supplies and materials (e.g. forms, office supplies, etc.). * Monitors students referred for illness or disciplinary action ensuring student welfare and maintaining a secure office environment.
JOB DESCRIPTION: ELEMENTARY SCHOOL OFFICE ASSISTANT * Performs a variety of general office work (e.g. answers phones, filing, copying, order and inventory of supplies, equipment repair requests, etc.) for the purpose of communicating information to staff, parents, internal and external parties. * Prepares and proofreads a variety of documents (e.g. schedules, reports, bulletins, correspondence, memos, monthly newsletters, calendars, etc.) for the purpose of communicating information to staff, parents, internal and external parties. * Processes documents and materials (e.g. attendance reports, student enrollment reports, purchase orders, receipts, work orders, truancy petitions, etc.) to disseminate information to other parties in compliance with administrative and/or regulatory requirements. Other Functions - Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
EDUCATION AND EXPERIENCE: High school diploma or equivalent Three years clerical experience
PREFERRED QUALIFICATIONS:: Previous experience working in a K-12 public school district Previous experience working with children
CONDITION OF EMPLOYMENT: Criminal background clearance Valid driver’s license and proof of insurance First Aid and CPR certification within 90 days of hire
